POSITION: EXECUTIVE ASSISTANT TO VP/NEWS DIRECTOR
DEPARTMENT: KCBS2/KCAL9 - NEWS
JOB DESCRIPTION: PROVIDE SUPPORT TO THE VICE PRESIDENT/NEWS. PERFORM ADMINISTRATIVE DUTIES FOR DUOPOLY NEWS DEPARTMENT.
SPECIFIC FUNCTIONS:
HEAVY PHONES/ROLLING CALLS, MEETING SCHEDULING, MESSAGES, MEMOS, REQUISITIONS, PURCHASE ORDERS, EXPENSE REPORTS, NEW HIRE ORIENTATION, SUPPLY ORDERING.
SERVE AS TRAVEL COORDINATOR FOR TEAM OF 50+ ANCHORS/REPORTERS: ARRANGING DOMESTIC AND INTERNATIONAL TRAVEL FOR STORY COVERAGE INCLUDING ALL ACCOMPANYING PAPERWORK SUCH AS TRAVEL AUTHORIZATIONS AND REQUISITIONS; RESPONSIBLE 24/7 ON-CALL.
LIAISON BETWEEN UPPER-LEVEL MANAGEMENT AND TALENT WITH REGARDS TO HIGHLY CONFIDENTIAL, TIME-SENSITIVE CONTRACTS.
MUST BE ABLE TO COORDINATE AND TRACK ALL NEWSROOM ATTENDANCE AND TIME OFF AND COMPLETE WEEKLY REPORTS TO NEWSROOM MANAGERS.
OVERSEE DAILY OFFICE FUNCTIONS OF NEWSROOM; COORDINATE ALL DEPARTMENT STAFF EVENTS INCLUDING HOLIDAY DINNERS, STAFF MEALS, OFFICE PARTIES, ETC.
PAYCHECK SUPERVISION FOR DEPARTMENT
MONTHLY PAPERWORK FOR FINANCE DEPARTMENT
DEPARTMENTAL SUPPLY ORDERING: FLOWERS FOR BIRTHDAYS, FUNERALS, BABIES, OFFICE SUPPLIES, ETC.
VARIOUS OTHER DUTIES AS REQUESTED.
QUALIFICATIONS:
PROFICIENT WITH MICROSOFT EXCEL, WORD, AND ABLE TO COMPLETE LARGE REPORTS FOR PRESENTATION. MUST BE PROFICIENT AT CREATING AND ORGANIZING POWER POINT PRESENTATIONS.
STRONG ORAL AND WRITTEN COMMUNICATION SKILLS
ABILITY TO HANDLE MULTIPLE TASKS SIMULTANEOUSLY, PRIORITIZE WORKLOAD EFFICIENTLY, AND MEET STRICT DEADLINES IN A FAST-PACED ENVIRONMENT
EDUCATION: COLLEGE DEGREE PREFERRED.
